Administrative Assistant – Job Posting

Organization: Barry County Chamber & Economic Development Alliance (Hastings, MI)
Reports to: President & CEO
Status: Full-time M-F 9:00 – 5:00
We are looking for a do‑it‑all connector who enjoys helping businesses thrive. The Administrative Assistant powers member value, signature programs, daily operations, and front‑door services for businesses across Barry County. This role supports countywide promotions and events, manages member communications and outreach, assists small‑business services (Barry Bucks, Certificates of Origin), maintains key technology systems, and oversees day‑to‑day coworking studio operations. It blends customer service, project management, marketing, community engagement, and hands‑on operational responsibilities.

Key Responsibilities

  • Assist Business Manager with member attraction & retention strategies, including onboarding, renewals, and ongoing engagement.
  • Conduct regular business outreach calls; prepare information packets, provide resource referrals, and serve as a responsive point of contact for member and small business needs.
  • Coordinate member appreciation touchpoints and support Project Thank You.
  • Maintain accurate CRM records in ChamberMaster and track satisfaction, engagement, and retention metrics.
  • Support promotional and community events from concept through logistics and follow-up.
  • Assist with event coordination and other programs as assigned.
  • Support registration and logistics for learning series, including educational opportunities, speaker series, and Success in 60 events.
  • Support driving engagement through Business Mixers and Business Team Collaboratives; help develop new member-value initiatives.
  • Assist with tourism initiatives in partnership with community and regional collaborators.
  • Administer the Tourism Council, including meeting preparation, agendas, packets, minutes, monthly virtual meetings, and follow-up on action items and implementation of directives.
  • Update and maintain website content in WordPress and support digital communications.
  • Administer Certificates of Origin (review, stamping, and recordkeeping).
  • Support the Barry Bucks Program, including printing, inventory, logging, redemption processing, and reporting.
  • Maintain the updated inventory of available properties in Zoom Prospector.
  • Lead the launch and ongoing development of the coworking studio as a new member service and revenue-generating program.
  • Develop and implement coworking studio systems for memberships, scheduling, and overall user experience.
  • Recruit initial coworking studio members and build awareness of the space within the business community.
  • Manage coworking studio bookings, onboarding, billing, and day-to-day operations as the program scales.
  • Track coworking studio utilization, revenue, and member feedback to inform continuous improvement.
  • Maintain coworking studio space standards (access, supplies, basic room setup) and perform light cleaning as needed, including vacuuming, trash removal, and bathroom upkeep on both floors.
  • Use and maintain organizational systems including ChamberMaster (CRM), Canva, Office 365, Google Workspace, and WordPress.
  • Provide general administrative support to internal staff, committees, and organizational initiatives.
  • Support special projects and additional responsibilities as assigned.

Qualifications

  • Two or more years of experience in administrative support, events/marketing, association or chamber operations, hospitality, or customer success; or an equivalent combination of education and experience.
  • Strong project‑management and event‑execution skills; ability to lift and set up event materials (up to 25 lbs.) and work occasional evenings/weekends.
  • Excellent writing, editing, and public‑facing communication skills.
  • Proficiency in CRM systems, Canva, Microsoft Office 365, Google Workspace, WordPress, and email marketing platforms (Outlook/Constant Contact).
  • Detail‑oriented, highly organized, and deadline‑driven with strong judgment and a service mindset.
  • Valid driver’s license and ability to travel within Barry County.
  • Bonus: Notary certification; experience with Certificates of Origin, coworking operations, ChamberMaster, or tourism programming.

Compensation & Schedule

  • Schedule: Full-time, on-site, Monday–Friday, 9:00 a.m.–5:00 p.m. On‑site presence is required for marketing, promotions, event coordination, member engagement, and coworking administration.
  • Base Salary: $38,000–$45,000, based on qualifications and experience
  • Benefits Stipend (17% in lieu of medical): $6,460 - $7,650/year
  • Phone Stipend: $540/year
  • Total Annual Cash Compensation: $45,000 - $53,190
